Information from Third Parties

If you use email forwarding to submit receipts, we receive and process the content of those emails, including any attachments, solely to extract expense data on your behalf. We do not share forwarded email content with third parties beyond what is necessary to operate the AI parsing feature.

  • Provide, operate, and maintain the Service;
  • Process transactions and send billing-related communications;
  • Send transactional emails (account verification, password resets, invoice notifications);

  • Stripe — for processing subscription payments;
  • Amazon Web Services (S3) — for storing uploaded files and receipt images;
  • AI model providers — for parsing receipt content (data is not retained by providers for training).

We may also disclose your information if required by law, court order, or governmental authority, or if we believe disclosure is necessary to protect the rights, property, or safety of Groundwork, our users, or the public.

In the event of a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity, subject to the same privacy protections described in this policy.

5. Data Retention

We retain your account data for as long as your account is active or as needed to provide the Service. If you delete your account, we will delete or anonymize your personal data within 30 days, except where we are required to retain it for legal or accounting purposes.

Uploaded files and receipt images stored in cloud storage may be retained for up to 90 days after account deletion before being permanently purged.

6. Security

We implement industry-standard security measures to protect your information, including encryption of data in transit (TLS/HTTPS), hashed password storage, and access controls limiting who can view your data. However, no method of transmission over the internet or electronic storage is 100% secure. We encourage you to use a strong, unique password and to notify us immediately if you suspect any unauthorized access to your account.

7. Cookies and Tracking

We use session cookies to maintain your login state. These cookies are essential for the Service to function and are deleted when you log out or close your browser. We do not use third-party advertising cookies or cross-site tracking technologies.
